We understand that the families who use Way2B1 have complex property management needs. Here we'll discuss best practices for managing properties on Way2B1.
Setup
A properties domain is included in every instance. You may want to create subdomains for further organization. In the following example, the Properties domain used subdomains to differentiate between properties that are in the US and abroad.
In Domains, hover over each Domain name on the sidebar and click on the "..." to create and manage your Domains, Subdomains, Pages, and Properties.
Creating Property Pages
- Create a Property in Source by clicking ". . ." in the Properties domain and selecting Add Property from the dropdown menu
- Name your Property, e.g. 123 Main Street, and select Enter on your keyboard to save
After creating a Page, you will need to set permissions. Some options for permissions structuring include:
- Broad permissions - Creating one all-encompassing team, i.e. "Property Management", and extending permissions to that team on the Properties domain level. Anyone added to that team will be able to see all properties.
- Narrow permissions - Creating a team for each property and share each property page with its corresponding team, e.g. "123 Main Street" team will be added to the "123 Main Street" property page. Each user would only be able to see property pages for the teams that they belong to.
If you aren't sure where to start, start simple by creating one team for "Property Management" and add every user that is involved. You can always narrow permissions at a later time.
Note that Admins and Default Owners will be able to see everything and won't need to be added to a specific team.
Customizing Pages
Each Source page comes pre-loaded with various widgets. For properties we recommend:
- Photos - Add a thumbnail photo by clicking on the square on each page
- Specs - Complete the pre-loaded "Specs" fields that come with each property
- Clock - Place a clock on your overview page that includes the timezone for the property
- Emergency Contacts - Add key emergency phone numbers as an individual note
Want to standardize the widget layout for all of your properties? Clone the page you've created by clicking ". . ." on the property name in the sidebar and selecting Make a copy.
Managing Tasks
We believe that documenting tasks promotes efficiency within the team while giving families peace of mind.
- Provide the family a direct line of communication to the right team members so that they can report maintenance issues and make requests in real time
- Increase communication efficiency between team members at the office and on-site
- Promote accountability by providing a clear record of all maintenance activities should you ever need them in the future
Tasks can be added on an as-needed basis, e.g. broken lightbulb, or can be scheduled on a repeating basis, e.g. weekly pool cleaning. Learn more about using Way2B1 for task management.
Auto & Maritime
Auto & Maritime can be managed in Source the same way that properties are.
- Create a Page for each vehicle or vessel in Source under the "Vehicles" Domain
- Upload a photo for each page and complete the Specs fields
- Using Links, link each vehicle the Property at which it is parked
