Way2B1's workflow capabilities remove redundant data entry for accountants and hold spenders accountable. First, you will need to create an approval process for accounting items entered into Way2B1.
Submitting Invoices for Approval
Instead of entering information from invoices one-by-one, upload all of your invoices at once. Our machine learning capabilities can also read your invoices and automatically populate any necessary information so that you can dedicate your time to what’s important.
- In Greenlight, click on New —> Invoice
- If you are shared on the original spending proposal, add the invoice directly from that request in the "Accounting" tab.
- Upload invoice files by dragging and dropping into the module or by clicking Upload
- Proceed to the next step if you want to enter the information manually
- If you have multiple files that should be entered as separate invoices, select “Upload each file as a separate invoice”
- Complete any known fields. For invoices, the only required field is the Vendor, though you may want to populate the Amount as well
- If it is included in your package, our AI-powered scanning will read uploaded PDF files and automatically populate any fields it can scan. These fields are indicated in green. In the example below, the invoice number, invoice date, and due date have been generated from the files.
- If entering multiple invoices, click on the “> “ arrow or pan to the next invoice.
- Repeat steps 4-5 for additional invoices
- Complete your invoice upload by clicking Create. You’ll see confirmation of the upload on the bottom-right of your screen
Track all of the requests you've submitted on the Decisions homepage under Created by Me. You can also always mention an approver as a friendly nudge.
Sync with your General Ledger
Currently, Way2B1 integrates with Quickbooks Online and Sage Intacct. However, exporting data from Decisions will still reduce redundant data entry and increase your team's efficiency. Here are instructions for how you can use Decisions with any general ledger software.
